CHARITY DRIVE

Project Introduction:

This is the second project assigned to us which is a business charity drive whereby we have to carry out sales as a group. It is an actual product-sales business project in order to raise funds for a charity organization. All the profit from the sales are donated to the charity organization we have pursued.

 

The customers are students from Taylors Lakeside University and we have to sell our product to them in order to raise funds. This project gives an insight of actual business in the real world. Students are allowed to choose their own project and run the business anyhow they want.

Project Process:

Before the business Charity Drive, we have decided to prepare a unique "waffle-cheese" meal whereby there is cheese and meat inside of a flat wrap which is then toasted in a waffle maker.

 

We have learned to make this product from a food making tutorial short video clip online. We experimented on the food and it tasted amazing. We have had feedback and we were told that not only the taste was terrific but the appearance of the meal was fantastic too.

 

However, we did not have this approach because the cost of the material was too high. It would result in a low profit and we would not be able to reach our profit target.

We have also visited the charity organization we will be raising funds for which is the Handicapped and Disabled Children’s Association of Klang, Selangor (PCKKPKS).

Soon, the business charity drive week has arrived and we have set up our booth to mark the start of our booth business. This is day 1 business sales.

 

However, the day before today, our cotton candy machine has broken down. Which is why we have ended up with only one product to sell on the first day which is our Frozen Yogurt with dry ice effect.

 

On the day of operation, we have learned how to operate the frozen yogurt machine, make toppings on the frozen yogurt and make the dry ice effect.

Day 2:

This is our business on the second day of the Charity sales.

 

We have had Frozen Yogurt as our product sales just like the previous day and also cakes with flavours Banana, Green Tea, Chocolate and Tiramisu Cake

 

On the previous night, I have gone to collect the cakes from the pick up area. We have purchased 130 cakes in total and had to sell them all in two days. We were a little worried about the sales but we managed to sell all of them in the end.

 

However, before the day ended, the Frozen Yogurt machine had broken down. It waqs a huge crisis for us because we could not only depend on selling cakes because the cakes were selling out fast. Since our plan B was to sell cakes (which we have already used) we came up with plan C after closing the booth and ending our business of the day.

 

We have bought roses and tied it up with our donation whereby if someone kindly donates more than RM5, we will free them a rose.

Day 3:

We have decided to sell Maggie Mee and Nescafe as our plan C.

 

We have prepared all the items, utensils and ingredients to cook and prepare the meal. We have purchased all the raw material, prepared the utensils for cooking and packaging for our products.

 

Since maggie mee was easy to prepare, we had no problem in preparing the meal for our customers.

Day 4:

This is the last day of our business charity drive. We did not have heavy sales on the last day because we have already reached our profit target. 

 

We have focused on our coffee sales and donation on the last day. This marked the end of our business charity drive.

 

After the business charity drive has ended, we have started on our business report.

Reflection:

In this project, I have realized that communication is the most important thing in this project because we have had many miscommunication with each other during this whole project. It was a huge problem between us and the frozen yogurt machine owner because of the deals made and the details of the contract. She had many communication issue with us as she kept changing her plans because of the profit she wanted to get. She has charged us pretty high for the rental and she kept on adding the initial price discussed. We had to keep agreeing with her terms even if she herself was not so sure about the terms she has told us. This was the first communication mistake we have made.

 

Other than that, our intergroup communication was not very idealistic either. Before the charity week, we had an amount of arguments and disagreements with each other because of the lack of communication between each of our members. We had pre-preparation before the charity drive but it was not enough because we were not prepared enough. Most of the things such as the job division, products confirmation, promotional posters and others were incomplete until the very last moment.

 

Even so, we were able to complete the necessary jobs. We were actually lucky that we were able to realize our communication problems and worked together during the final charity week. We really needed teamwork and plenty of communication during the last week because of the problems which have cropped up during the whole week. We had a lot of problems, machine breakdowns and issues which we had to overcome as a group.

 

It was a real life business situations where problems occur continuously and we needed to quickly come up with immediate back up plans. We had more than three issues and plans to overcome the problem. From this, I have really understood the importance of having back up plans and being ready for anything is necessary in any situation.
